(A)JOB SUMMARY
The Executive Assistant – Founder’s Office will work directly with the CEO, providing high-quality administrative and operational support. This is a high-visibility, high-responsibility role best suited for individuals who are extremely organized, discreet, proactive, and tech-savvy. The Executive Assistant will manage the CEO’s calendar, travel plans, communications, and day-to-day schedule, ensuring seamless execution of the CEO’s professional agenda.

(B)JOB DUTIES & RESPONSIBILITY

•Calendar & Schedule Management:
oManage and maintain the CEO's daily, weekly, and monthly calendar with precision.
oSchedule, confirm, and send reminders for internal and external meetings, calls, and events.
oProactively resolve scheduling conflicts and communicate updates to relevant stakeholders.

•Travel Planning & Coordination:
oBook flights, trains, hotels, and ground transportation for the CEO's domestic and international travel.
oPrepare detailed travel itineraries including visa requirements, meeting briefings, and logistics.
oManage last-minute changes to travel plans and ensure contingency arrangements are in place.
oCoordinate with travel vendors to ensure cost-effective and timely arrangements.

•Meeting & Communication Support:
oPrepare agendas, briefing notes, and pre-read materials ahead of important meetings.
oDraft and manage emails, correspondence, and follow-up communications on behalf of the CEO.
oTake minutes of key meetings and track action items to ensure timely closure.

•Reminders & Task Tracking:
oSend timely reminders to the CEO for upcoming meetings, deadlines, and commitments.
oMaintain a structured task tracker for pending and completed CEO action items.
oCoordinate with department heads on behalf of the CEO to gather updates and reports.

•Administrative & Confidential Support:
oHandle sensitive information with the highest level of discretion and confidentiality.
oManage personal and professional errands and requests as assigned by the CEO.
oOrganize and maintain filing systems for contracts, correspondence, and key business documents.

(C)QUALIFICATION & SKILLSET
•Bachelor’s or Master’s degree in Business Administration, Management, Communications, or a related field from a reputed university.
•1–2 years of professional or internship experience in an administrative, executive support, or business operations role.
•Actively uses AI tools (ChatGPT, Claude, Gemini, Copilot, or similar) in day-to-day work; familiarity with prompt engineering is a strong plus.
•Quick learner — able to pick up new tools, workflows, and business contexts with minimal hand-holding.
•Exceptional verbal and written English communication skills — articulate, precise, and professional; ability to draft high-quality correspondence independently.
•Proficiency in productivity tools: Google Workspace (Gmail, Calendar, Docs) and MS Office Suite.
•Extremely detail-oriented with strong time management and multitasking abilities.
•High emotional intelligence and ability to work calmly under pressure.
•Discretion, integrity, and a high degree of professionalism are non-negotiable.
•Prior experience in an administrative or executive support role is preferred.
